TRIXXO Group is committed to the careful and secure handling of privacy-sensitive information of its website visitors, candidates, applicants, principals, clients, customers, employees and self-employed persons, in the broadest sense of the word. 2. Who processes personal data?
TRIXXO Group acts as the data controller with respect to your personal data and this irrespective of which company from or affiliated with the TRIXXO Group [1] processes your personal data.
Under the General Data Protection Regulation, the controller has control over the processing of personal data and, as a result, determines the purpose and means or manner of processing. TRIXXO Group sometimes engages other companies (third parties) to perform services for it. TRIXXO Group remains responsible for the proper processing

3. What personal data are processed?
TRIXXO Group undertakes to process only such data as are relevant and necessary for the purposes for which they were collected. You are personally responsible for the accuracy of the personal data you provide. TRIXXO Group therefore asks you to notify changes in personal data to your usual TRIXXO office without delay. The following categories of personal data may be processed by TRIXXO Group:
a) Concerning the (prospective) users of domestic helpers
- Identification and address data (such as name, first name, national register number, place of residence (domicile and/or residential address), e-mail address, telephone and mobile phone number, date of birth, gender, etc.);

- Identification and address details of any contact person(s);
- Desired help in the household;
- The presence or absence of pets;
- Any complaints and reasons for discontinuation of services;
- Use of our services: data about your use of our website, products and services, office;
- Information about your preferences, such as: language choice, areas of interest, preferences for (marketing) communications,...;
- Information on any material damage (invoices, photos of damage, specifications, etc.).
b) Regarding the (prospective) employees/(prospective) temporary workers
- Identification and address data (such as name, first name, national register number, place of residence (domicile and/or residential address), e-mail address, telephone and mobile phone number, date of birth, gender, etc.);
- Copy of proof of identity or passport and driving license if required;
- Any work permit – and / or residence permit;
- Curriculum Vitae (CV), cover letter, information on education, internships and work experience;
- Data on training and courses and/or tests you have attended yourself or through us;
- Details of availability and leave periods, any salary requirements, positions you would like to be considered for;
- Other data that are or may be relevant in the context of assessing the candidate's suitability, e.g. references and certificates and data on work experience;
- Identification and address details of any contact person(s);
- On a voluntary basis, other content introducing yourself (video, photo, documents, diplomas, certificates);
- Information about your preferences, such as: language choice, areas of interest, preferences for (marketing) communications,...;
- Use of our services: data about your use of our website, products and services, office;
- Data other than those listed above whose processing is required pursuant to or necessary for the purposes of the application of the law and job placement.
c) Regarding professional customers/suppliers
- Identification and address data (such as name, first name, national registration number, place of residence (domicile and/or residential address), e-mail address, telephone and mobile phone number, date of birth, registered office, etc.);
- Bank account number;
- Use of our services: data about your use of our website, products and services, office;
- Information about your preferences, such as: language choice, areas of interest, preferences for (marketing) communications,...;
- Public data and indirectly collected data (e.g. publications regarding appointments, data made public by yourself, press, CBE, etc.).
d) Concerning visitors to the website
- Identification and address data of the user (such as name, first name, national registration number, place of residence (domicile and/or residential address), e-mail address, telephone and mobile phone number, date of birth, gender, etc.);
- Message sent via contact form;
- Use of our services: data about your use of our website, products and services, office;
- Information about your preferences, such as: language choice, areas of interest, preferences for (marketing) communications,...;
- Information collected via cookies and other technologies (for more information on this, please refer to our cookie statement);
- Technical information: When you visit our website, the website automatically collects information about the (devices of) our visitors. This includes, for example, information about the device used to visit the website, the IP address of your Internet Service Provider, the operating system you use, the date and time of your visit, the Internet address of the website from which you linked directly, the pages you visited and the information you viewed on the website, your geo-location and the material you send to and download from the website. We use this technical information to manage and improve the quality of our website as well as for marketing purposes. Based on your preferences, our services and communications will be tailored to your personal profile.
Certain personal data are necessary to provide our services. If certain data are incomplete or apparently incorrect, TRIXXO Group reserves the right to temporarily or permanently postpone certain expected actions.
4. For what purposes will my personal data be used?
The processing of the above-mentioned personal data is done solely for the following specified purposes:
- Matching labour market supply and demand;
- To be able to assess your suitability and availability in connection with a placement for permanent or temporary work or an assignment, which may include the use of test results;
- Establish and maintain an employee or staffing/mediation relationship with you and carry out the relevant administration for this purpose, e.g. payroll or work schedules;
- Fulfill our reintegration obligations and comply with (the government-mandated goal of) helping persons with a large(r) distance from the labour market into work;
- To be able to secure an assignment with the client in an agreement with the client and to maintain and fulfill the agreement with the client;
- To promote your personal development and employability, including training, education and testing;
- Record hours worked and hours not worked and process them in our payroll system;
- Ensure correct and complete payroll administration and payment of salary and pension funds;
- For management purposes including management information, providing internal controls and corporate security and conducting audits and auditing;
- Quality purposes such as certification;
- Apply for subsidies, premium discounts, etc;
- If we have entered into an employee or staffing/mediation relationship with you, for compliance with laws and regulations, including but not limited to identification, labour, tax and social security laws, combating fraud and national and international sanctions laws;
- Invoicing our services;
- If the processing is necessary for the performance of a contract to which you are a party, or to take action at your request before the conclusion of a contract (if you do not provide your personal data, a contract cannot be concluded);
- Screening prospective employees in the context of potential employment;
- Customer service: To support you if you have questions and problems;
- Offering and improving the services and products provided: personalized and specific products based on information and data provided, including obtaining and processing user reviews and providing support;
- Marketing purposes, including being able to offer other services and products of the TRIXXO Group and the sharing economy platform exxtra;
- Look-a-like Audiences: we may share your data with platforms such as META (Facebook, Instagram) to build look-a-like audiences. This helps us show targeted ads to audiences similar to our existing customers. These platforms only use your data to create the look-a-like audiences and will not use your personal data for other purposes;
- Personalization and profiling: to tailor our services and communications to your personal profile.
The above-mentioned data processing is thus necessary so that TRIXXO Group can provide you with the requested services (and thus necessary for the performance of the agreement between you and TRIXXO Group), in preparation for any future employment contract between you and TRIXXO Group or because TRIXXO Group must process such data on the basis of a legal obligation to which it is subject.
We may also use the e-mail address you provide to send you important information regarding your services, newsletters and offers that may be useful. When receiving these e-mail messages, you will always have the opportunity to change your preferences or to unsubscribe. You can also unsubscribe at any time by sending an e-mail to privacy@trixxo.be. The User always provides TRIXXO Group with personal data him/herself and may thus exercise a degree of control. If certain data are incomplete or apparently incorrect, TRIXXO Group reserves the right to temporarily or permanently postpone certain expected actions.
5. To whom will your personal data be transferred?
In principle, your personal data are processed only for internal use within TRIXXO Group as defined above. TRIXXO Group may disclose your personal data to other TRIXXO Group entities, customers, cooperation partners providing services or executing orders on behalf of TRIXXO Group, suppliers, government agencies and other business relations. The disclosure of personal data is made on the basis of a legitimate interest, legal obligation and/or in performance of the agreement in accordance with the above purposes.
- With external service providers we use to perform our services (e.g. website designer, insurer, ...);
- In the context of our staffing activities, with employers to whom we wish to present your profile. We have also concluded the necessary agreements with these employers to ensure that your personal data will remain protected;
- If we are obliged to do so on the basis of mandatory legal provisions (e.g. transmission to external bodies, such as supervisory or law enforcement authorities) and/or as a result of a court order or a government order.
TRIXXO Group has taken the necessary measures to ensure that personal data transmitted are adequately protected.
6. What are my rights?
6.1 Ensuring lawful and secure processing of personal data
TRIXXO Group is committed to ensuring that you can easily exercise your rights in relation to the processing of your personal data. If you wish to exercise any of the rights due to you and listed below, you can contact us as described below at privacy@trixxo.be.
TRIXXO Group always processes your personal data fairly and lawfully. This includes the following guarantees:
- Personal data will only be processed in accordance with the defined and legitimate purposes of this Privacy Statement.
- Personal data will only be processed insofar as it is adequate, relevant and not excessive.
- Personal data will be kept only as long as necessary to fulfill the defined and legitimate purposes in this Privacy Statement.
TRIXXO Group makes every effort to secure your personal data in the best possible way against unlawful use. We do this by means of physical, administrative, organizational, managerial and technical measures. For example: only authorized persons have access to data that are strictly necessary for the performance of their functions and services. If and to the extent that data are provided to processors/collaboration partners who provide services or execute orders on its behalf, TRIXXO Group has agreed with them that they will also provide optimum security for personal data.
6.2 Right to access/correct/delete your personal data
You have a right to obtain a decision from TRIXXO Group on whether or not your personal data are processed. Moreover, when TRIXXO Group processes your data, you have the right to access the personal data collected.
Inaccurate or incomplete personal data can be corrected at any time.
You also have the right to have your personal data erased by us without unreasonable delay in the following cases:
- When the personal data are no longer needed for the purposes for which they were originally collected;
- Where personal data were collected on the basis of consent that has since been withdrawn and no other legal basis exists for the processing;
- Where objection is made to the processing and no overriding compelling legitimate grounds for the processing exist;
- Where personal data were unlawfully processed;
- When personal data must be deleted in accordance with a legal obligation.
TRIXXO Group assesses the presence of any of the aforementioned cases.
6.3 Right to restrict/object to the processing of your personal data
You have the right to obtain a restriction on the processing of your personal data:
- For the period TRIXXO Group needs to verify the accuracy of personal data, in the event of a dispute;
- When the data processing is unlawful and User requests restriction of processing instead of erasure of personal data;
- When TRIXXO Group no longer needs the User's personal data for processing purposes and the User needs the personal data regarding a legal claim;
- For the period TRIXXO Group needs to assess the presence of the grounds for erasure of personal data.
You also have the right, in some cases, to object to the processing of your personal data for reasons specifically related to your situation. If the legal conditions of application of this right are met, TRIXXO Group shall hereafter cease processing your personal data, unless TRIXXO Group can cite compelling legitimate grounds for processing your personal data that outweigh your right to object.
6.4 Right to data portability
In well-defined cases, you have the right to obtain personal data provided to TRIXXO Group in a structured, common and machine-readable form. In addition, you have the right to transfer this personal data to another data controller.
7. Questions, comments, complaints or (suspected) data breach
If you have any questions, comments or complaints about TRIXXO-Group's protection of your personal data, please contact us in writing or by e-mail at privacy@trixxo.be.
If there is a (suspected) data breach, please contact us immediately in writing or by e-mail at privacy@trixxo.be.
If you disagree with TRIXXO Group's use of your personal data, you can also lodge a complaint with the Personal Data Authority, using the form made available on the Personal Data Authority website.

8. Retention period
TRIXXO Group does not retain personal data for longer than is necessary for the purpose of processing and in accordance with statutory retention periods.
9. Amendments to privacy policy
TRIXXO Group reserves the right to amend or modify this privacy statement (unilaterally).
10. Other provisions
The provisions of this privacy statement and any disputes arising therefrom are governed by Belgian law.
None of the provisions of the privacy statement are intended to create any obligation or agreement between TRIXXO Group and a concerned party.
